(hereinafter referred to as "the Company"), a registered travel agency under the Travel Agency Act of Japan, establishes the following privacy policy (hereinafter referred to as "this Policy") regarding the handling of personal information acquired through the accommodation reservation service "Dynamic Japan Travel" (hereinafter referred to as "the Service") operated by the Company.

Personal Information Collected

The Company collects the following personal information in connection with the provision of the Service:

  • -Reservation details (including the name, contact details, address, nationality, check-in and check-out dates, number of guests, and other information required by the accommodation facility for both the booking representative and accompanying guests)
  • -Contact information such as phone number, email address, and home address
  • -Credit card information (processed via PAY.JP, a payment service operated by PAY Inc. (Japan); the Company does not retain card numbers or security codes)
  • -Internet usage environment information (including IP address, browser information, device information, OS information, etc.)
  • -Reservation history, usage history, and inquiry history
  • -Messages exchanged with accommodation facilities through the chat function on the Service (machine-translated where necessary)
  • -Access logs and cookies collected through tools such as Google Analytics

Purpose of Use of Personal Information

The Company will use the collected personal information for the following purposes:

  • -To process accommodation reservations, manage bookings, send confirmation notifications, and support the performance of accommodation contracts
  • -To provide necessary information to payment processors including PAY Inc. (Japan), the operator of the payment service PAY.JP, for purposes of identity verification (KYC), fraud detection, payment processing, and settlement
  • -To detect and prevent fraudulent use, improve security, and resolve service-related incidents
  • -To respond to inquiries and provide customer support
  • -To improve services, develop new services, and conduct marketing and advertising activities
  • -To analyze service usage using tools such as Google Analytics (only in forms that cannot identify individuals)
  • -To comply with applicable laws, regulations, and governmental or judicial requests
  • -To allow accommodation facilities to use the information for fulfilling accommodation contracts, customer support, booking management, emergency contact, marketing, and advertising

*The Company arranges accommodations as a registered travel agency under an arranged travel contract with the user, and the accommodation services themselves are provided by the accommodation facility. Information necessary for the stay is provided to the relevant accommodation facility for the arrangement and performance of the accommodation services.

*Information provided to accommodation facilities will be used according to each facility's privacy policy. The Company is not responsible for the use and management of information by the accommodation facilities.

Provision to Third Parties

The Company may provide personal information to third parties as follows:

  • -Provision to payment service providers, such as PAY Inc. (Japan), the operator of the payment service PAY.JP, for identity verification, fraud detection, payment processing (including 3-D Secure authentication), and settlement. The information provided includes the customer's name, email address, and other billing information required for these purposes. Payments are processed through PAY.JP, and the Company does not retain card numbers or security codes.
  • -Provision to credit card companies for fraud prevention, credit assessment, and payment processing
  • -Provision to contractors for reservation management, payment processing, system maintenance, customer support, etc., under appropriate contracts that require personal information management
  • -Provision to accommodation facilities and their contractors (including payment processors, cleaning services, concierge services, etc.) for purposes of fulfilling accommodation contracts, customer support, booking management, emergency contact, marketing, and advertising. The Company is not responsible for the information management of accommodation facilities
  • -Provision in response to lawful requests from governmental agencies, courts, police, etc.

Entrustment of Personal Data (Service Providers)

The Company entrusts part of the handling of personal data to the following service providers, and appropriately supervises them:

  • -Google LLC (United States) — cloud infrastructure and data storage. Personal data is stored in the Tokyo region, Japan.
  • -Resend, Inc. (United States) — delivery of transactional emails such as booking confirmations (Tokyo region, Japan).
  • -OpenAI (United States) — machine translation and content processing.

The Company has confirmed the systems concerning the protection of personal information in the countries above and implements necessary and appropriate safeguards for the entrusted data.

Use of Cookies and Access Analysis

The Company uses tools such as Google Analytics provided by Google LLC to analyze the usage of the Service, improve services, deliver advertising, and conduct marketing activities.

Cookies are used to collect data in a form that does not directly identify individuals. Such data may be sent to and stored by Google LLC in countries such as the United States.

The Company does not manage how Google LLC handles such data. For details, please refer to Google's privacy policy.

Users can disable cookies through browser settings, but this may affect the functionality of the Service.

Management and Security of Personal Information

The Company takes appropriate security measures to prevent leakage, loss, damage, unauthorized access, or falsification of personal information, including: encryption of communications (SSL/TLS), access controls limiting data access to authorized personnel only, and non-retention of credit card numbers (tokenized by PAY.JP). Personal data is stored on cloud services located in the Tokyo region, Japan.

Personal data is retained only for as long as necessary to achieve the purposes of use stated above and for the periods required by applicable laws (such as bookkeeping and travel agency record-keeping obligations), after which it is deleted or anonymized.

User Rights

Users may request disclosure, correction, addition, deletion, suspension of use, or suspension of provision to third parties regarding their personal information by contacting the Company at the contact address below.

Upon confirming the user's identity, the Company will respond appropriately in accordance with applicable laws and regulations.

Users residing in jurisdictions such as the EEA or the UK may have additional rights under their local data protection laws (such as data portability and the right to object), and the Company will honor such requests to the extent required by applicable law.

Use by Minors

Minors must obtain the consent of their parent or legal guardian before using the Service.

Changes to this Policy

The Company may revise this Policy as necessary. Revisions will be posted on the Company's website and will take effect from the date of posting.
